Instructions for Conference Paper Submission

General Research Presentation (Poster Presentation)

1. Overview

The presentation will be conducted as a poster presentation. An individual can present as the lead presenter for a general research presentation only once during the convention period. The presentation categories are as follows:

1.Principles/Methods, 2. Personality, 3. Social/Culture, 4. Clinical/Disorders, 5. Crime/Delinquency, 6. Mathematical/Statistics, 7. Physiology, 8. Sensation/Perception, 9. Cognition, 10. Learning, 11. Memory, 12. Language/Thinking, 13. Emotion/Motivation, 14. Behavior, 15. Development, 16. Education, 17. Industrial/Traffic, 18. Sports/Health, 19. Gender, 20. Environment

The presentation will be conducted in person. At the poster presentation venue, posters will be displayed during the time slot designated in the program. Each session lasts 100 minutes, with a mandatory presence time of 50 minutes. 

 

The lead presenter must submit a "Conference Paper" and a "Digital Poster" in advance. "Conference Paper": A PDF file in a two-column format per page, to be submitted at the time of application. "Digital Poster": A JPG file of the same poster to be displayed at the venue on the day of the convention. The submission period is scheduled from July 15th (Tuesday) at noon until September 5th (Friday) at 8:00 am (JST). The "Conference Paper" and "Digital Poster" will be published on the convention website. Each presentation will have a comment section prepared, allowing for Q&A between presenters and participants through the comment section.

2. Requirements

To be recognized as an official presentation, both of the following conditions must be met: 

①Publication of the "Conference Paper" and "Digital Poster" on the convention website.

②Poster presentation at the venue (including mandatory presence). 

*If the lead presenter cannot attend the venue due to unavoidable reasons, a "proxy presentation" or "web presentation" can be allowed only if applied for in advance. The application period and method will be announced around August. Presentations that become a "proxy presentation" or "web presentation" will be noted as such in the convention proceedings to be published after the convention.

3. Eligibility

Both the lead presenter and co-presenters must meet the following conditions. Additionally, the lead presenter must ensure that co-presenters meet the eligibility requirements and have agreed to be co-presenters. 

(1) Lead Presenter

a. Must be a Member of a foreign psychological association with an MOU (Memorandum of Understanding) with the Japanese Psychological Association
b. Must have registered and paid the Convention registration fee
c. Must have completed the presentation application process within the designated application period.
d. When applying for the presentation, must transfer the copyright of the convention proceedings manuscript to the Japanese Psychological Association on behalf of all presenters and agree to this responsibility.
e. Must be the primary author of the presentation.

(2) Co-presenters

a. Must have collaborated with the lead presenter on the research for the presentation.
b. As a general rule, co-presenters are expected to participate in the convention and take part in the research presentation and discussion. (Non-attendance by co-presenters does not result in the cancellation of the presentation.) *Non-members can also be co-presenters.

4. Application

The lead presenter should register the following information. The lead presenter should be listed as the primary author. When preparing the conference paper, please refer to the "Guidelines for Preparing Manuscripts for General Research Presentations (Poster Presentations)."

  • Information of the lead presenter (self) (Name, Affiliation, Membership number)
  • Information of co-presenters (Name, Affiliation, whether they are members or non-members, etc.)
  • Presentation language (Japanese/English)
  • Presentation category

[For presentations in Japanese]

・Title (within 100 Japanese characters), Subtitle (within 100 Japanese characters)

・English title (within 200 characters)

・Keywords (Japanese & English; up to 3 each)

・Abstract (within 500 characters)

[For presentations in English]

・Title (within 200 English characters), Subtitle (within 200 English characters)

・Keywords (English; up to 3)

・Abstract (within 1,700 English characters)

  ※The abstract will be posted on the convention website and will not appear in the proceedings.

  • Conference paper (1 page, PDF file)
  • Confirmation of ethical review
  • Confirmation of informed consent
  • Conflict of Interest (COI) declaration
  • Entry for the Distinguished Poster Presentation Award
  • Contact email address

5. Author Proofreading

If there are typographical errors or other formal issues in the submitted conference paper, corrections can be made only during the author proofreading period. The convention executive committee will review the conference papers. If any issues are identified, the lead presenter will be contacted and must make the necessary corrections during the author proofreading period. Failure to make appropriate corrections may result in the cancellation of the presentation.

6. Digital Poster Submission

Submit a "Digital Poster" identical to the poster displayed at the venue on the day of the convention as a JPG file. The submission period is scheduled from July 15th (Tuesday) at noon to September 5th (Friday) at 8:00 am (JST) (tentative). Details will be announced on the convention website (scheduled for July). 

7. Distinguished Poster Presentation Award

The Distinguished Poster Presentation Award is selected only from among those who enter at the time of presentation application. Excellent Japanese presentations will receive the JPA Distinguished Poster Presentation Award, and English presentations will receive the JPA Distinguished Poster Presentation Award - International Division.

*A Conference Paper must be submitted to the registration system as a PDF file. Please use Word's "Save As" to make the file format PDF, or "Print" to "Save as PDF", etc.

<Copyrights of Presentations>

 

  • The convention proceedings will be publicly available. Registration of an abstract is considered agreement to the copyright transfer to the Japanese Psychological Association.
  • The copyright of digital posters, videos, and other content remains with the presenter. While we do not accept copyright transfer to the association, please allow for the posting of these materials on the convention site.
  • The presenter is responsible for any copyright or trademark issues related to the content. Please be mindful of this when preparing your presentation materials. Content that falls under the following categories will not be allowed for publication:
    • Unauthorized posting of faces of famous musicians, athletes, celebrities, etc., from both domestic and international sources (photos, videos, music, etc.) 
    • Unauthorized posting of photos where individuals' faces are recognizable
    • Unauthorized posting of photos copied from websites
    • Unauthorized posting of domestic and international comics, anime, and artworks

We aim for all participants to respect each other's personality and individuality, ensuring that information is accessible without discrimination based on disabilities or any other differences. We kindly request your cooperation in providing reasonable accessibility for participants with disabilities when creating presentation materials and videos. Specifically, if it is possible to insert subtitles into videos for on-demand streaming, we would like to indicate this in the program. 

Examples of reasonable accessibility for participants with disabilities:

  • Add subtitles to videos (you can use video site subtitle features or free subtitle software).
  • Ensure the text is sufficient for participants to follow the speaker’s content, using sentences rather than just listing words.
  • Speak slowly and clearly, and when presenting graphs or charts, provide verbal explanations of their content. 
  • Be mindful of color choices for those with color vision deficiencies. If using a laser pointer, prefer green over red if possible. 
  • For Q&A sessions, be prepared to accommodate for both spoken and written (using chat or whiteboard features) interactions if possible.
