Visa for entry to Japan

Japan implements visa exemption measures for short-term stays in some countries and regions. Please check the following website for visa -exemption countries.

Deadline for requesting support for visa documents

* This deadline and visa support documents do not guarantee visa approval.

 

Conditions

Applicants must meet all of the following conditions to request our visa documents support:

- Your paper has been accepted.

- You have completed the online registration.

- Your registration fee and visa support fee have been paid.

 

*Visa support fee: 20,000 JPY/per person/ non-refundable for any reason (not include Visa Application Fee) 

*The ISWST2025 Organizing Committee may decide whether or not to provide you with a personal guarantee.

The following documents will be issued to the applicants who have met all of the above conditions:

- Invitation letter (from the organizing committee)*

- Letter of guarantee

- Letter of reason for invitation

- Schedule of stay

- Certificates of employment

 

*If you only need an "Invitation Letter" from the organizing committee, please select "Invitation Letter Only" in the registration system and make the payment first. The fee is 4,000JPY/per person/ non-refundable for any reason.

 

Visa Guarantee Period

The maximum guarantee period for ISWST2025 is as below.

From March 15 (Sat), 2025 to March 23 (Sun), 2025

*If you wish to extend your stay before or after the guaranteed conference period, you may apply for a visa for tourist purposes at the discretion of the Japanese Embassy or Consulate. Visa support fees are non-refundable for any reason.

Therefore, if you wish to extend your stay, please contact the Japanese Embassy or Consulate nearest to your residence in advance and request for visa document support.

- Since obtaining a visa may take time, we recommend that you contact the Japanese Embassy/Consulate‐General with jurisdiction over your place of residence as soon as possible to inquire about the detailed procedure and required documents. (In addition to the documents prepared by the inviting person/guarantor in Japan, you may be required to present additional documents. However, as requirements may vary depending on local circumstances and the purpose of your visit, please consult the Embassy/Consulate – General directly.)


- Please note that preparing the documents may take a week or more, and additional time may be required for delivery.


- Please note that preparing visa documents does not guarantee entry into Japan. The visa application process at the Embassy or Consulate‐General of Japan in your country is your responsibility (including any fees to be paid to the Embassy or Consulate for visa application and issuance), and ISWST2025 holds no liability for this or for any travel expenses, including flight tickets, hotel booking, etc., that may arise from an inability to obtain a visa.


- All the visa documents prepared by us will be sent to you by email. 

Only if the local Japanese Embassy or Consulate General requires the original documents, they will be sent to you by EMS (or DHL).

Please note that in such cases, the postage must be paid in advance by the applicant (the actual cost will be verified and charged to you).

- Kindly confirm the details of your transit visa in advance if you transit through any countries in route to Japan, on your own responsibility. We are not liable for any issues related to transit visas.

 

Application Preparation

To prepare the visa support documents, we require the following information. 

Please have these details (including a copy of your passport) ready when you contact the Visa Support Desk (visa-iswst2025@ iswst.org). 

 

•     Copy of your passport* (photo page/ in PDF or image files)

*If your passport will have less than 6 months left when you arrive in Japan in March 2025, we recommend that you obtain a new passport before contacting us or applying for a visa.

If you are concerned, please contact your local Japanese embassy or consulate first.

· Embassy or Consulate General where you will apply your visa.

· Flight information (Date/Flight number):
