1. Abstract Submission
Q1-1. When is the abstract submission period?
Ans: December 1, 2025-February 28, 2026.
Q1-2. Who is eligible to submit an abstract?
Ans: The lead author must register for the conference. Co-authors are welcome to attend.
Q1-3. What presentation types are accepted?
Ans: Research, Policy Proposal, and Practical Report topics are accepted as Oral or Poster presentations.
Q1-4. What languages are accepted?
Ans: English or Japanese.
Q1-5. What are the title and abstract limits?
Ans: Title: Up to 200 English characters
Abstract: Up to 2,000 English characters
Q1-6. How many co-authors are allowed?
Ans: A maximum of 10 co-authors per abstract.
Q1-7. Can I edit or withdraw my abstract?
Ans: Yes. You may review, edit, or cancel your abstract until the submission deadline.
Q1-8. When will acceptance be announced?
Ans: Mid-March 2026 by email, including presentation date and guidelines.
Q1-9. How do I submit my abstract?
Ans: All abstracts must be submitted online through the official submission system. You will need to create an account from https://wfws.confit.atlas.jp/login
2. Registration
Q2-1. How do I register?
Ans: Registration is completed online via the official conference website.

Q2-2. What payment methods are accepted?
Ans: Credit Card only.
Q2-3. What are the registration fees?
Ans: The early-bird registration fee is ¥15,000 for regular participants and ¥10,000 for students. The regular registration fee is ¥20,000 for regular participants and ¥12,000 for students.
Q2-4. When is the Early-Bird registration period?
Ans: December 1, 2025 - April 30, 2026.
Q2-5. Is there a separate fee for the Interactive Dinner?
Ans: Yes, participation is optional, and the interactive dinner fee is ¥5,000 for general participants and ¥3,000 for students.
Q2-6. Is on-site registration available?
Ans: Yes, but early online registration is recommended. Please be aware that credit card payment is only available online.
Q2-7. What is the cancellation and refund policy?
Ans: No refunds. If you cannot attend in person, you may join online. Please inform the organizers early.
Q2-8. Can a co-author present instead of me?
Ans: Yes. One co-author may present with prior notice to the committee.
Q2-9. When will I receive my entrance badge?
Ans: Badges will be issued at the registration desk on the conference day.

Ans: Hiroshima University, Kasumi Campus (Medical Campus), Koujin Kaikan Hall

Q3-2. Are there hotels nearby?
Ans: Yes. Participants may book accommodation through common hotel booking platforms according to their budget.
4. Travel Information
Q4-1. What are the nearest airports?
Ans:
· Hiroshima Airport (closest, limited international routes)
· Fukuoka International Airport (≈1 hour to Hiroshima by Shinkansen)
· Osaka Kansai International Airport (≈1.5 hours by Shinkansen)
· Tokyo Haneda/Narita (≈4 hours by Shinkansen or domestic flight to Hiroshima)
Q4-2. How do I reach the venue from the airport?
Ans:
· From Hiroshima Airport: Limousine Bus to Hiroshima Station (≈45 min)
· From Fukuoka Airport: Shinkansen Hakata → Hiroshima (≈1 hour)
· From Kansai Airport: Shinkansen Shin-Osaka → Hiroshima (≈1 hr 25 min)
· From Hiroshima Station, local buses run to Hiroshima University Hospital/Kasumi Campus (≈10 min).
5. Presentations
Q5-1. How long are oral presentations?
Ans: 10-minute presentation + 5 minutes Q&A.
Q5-2. What is the poster size requirement?
Ans: A0 size (84.1 cm × 118.9 cm).
Q5-3. Will certificates be provided?
Ans: Yes. Certificates of Attendance and Presentation will be issued on the final day.
6. Dietary Requirements
Q6-1. Can dietary restrictions be accommodated?
Ans: Yes. Vegetarian and Halal options will be available. Please inform the organizers after registration.
7. Visa information for international participants
Q7-1: How can I get an invitation letter for a visa application?
Ans: Registered participants who select “visa required” during registration will receive a formal invitation letter upon request. Applicants must apply at the Japanese Embassy or Consulate in their own country with all other required documents. Please note that the conference organizers will provide only the invitation letter and are not responsible for visa decisions.
