Instructions for Conference Paper Submission

General Research Presentation (Poster Presentation)

1. Overview

General research presentations will be held in a poster format. Each participant can serve as the lead presenter for only one poster presentation during the convention period. The presentation categories are as follows:

1.Principles/Methods, 2. Personality, 3. Social/Culture, 4. Clinical/Disorders, 5. Crime/Delinquency, 6. Mathematical/Statistics, 7. Physiology, 8. Sensation/Perception, 9. Cognition, 10. Learning, 11. Memory, 12. Language/Thinking, 13. Emotion/Motivation, 14. Behavior, 15. Development, 16. Education, 17. Industrial/Traffic, 18. Sports/Health, 19. Gender, 20. Environment

Presentations will be conducted in person. At the venue, posters must be displayed during the time slot designated in the program. Each session lasts 100 minutes, with a mandatory presentation time of 50 minutes (during which the presenter must be present at their poster). 

 

The lead presenter must submit a "Conference Paper" at the time of application. A "Digital Poster" may also be submitted in advance.

"Conference Paper": A PDF file in a two-column format (one page).
"Digital Poster": A JPG file of the actual poster to be displayed at the venue.

The submission period for the "Digital Poster" is scheduled from July 14th (Tuesday) at noon until September 4th (Friday) at 8:00 am (JST). Both the "Conference Paper" and "Digital Poster" (if submitted) will be published on the convention website. Each presentation will have a comment section prepared, allowing for Q&A between presenters and participants through the comment section.

2. Requirements

To be recognized as an official presentation, both of the following conditions must be met: 

①Publication of the "Conference Paper" on the convention website.

②Poster presentation at the venue (including mandatory presence time). 

*In the event that the lead presenter cannot attend the venue due to unavoidable circumstances, a "proxy presentation" or "web presentation" may be permitted, provided that an application is submitted in advance. The application period and process will be announced around August. Presentations conducted as a "proxy presentation" or "web presentation" will be documented as such in the convention proceedings published after the convention.

* Please note that the submission of a "Digital Poster" is not a mandatory requirement for your presentation. Failure to submit a Digital Poster will not result in the cancellation of your presentation.

3. Eligibility

Both the lead presenter and co-presenters must meet the following conditions. Additionally, the lead presenter is responsible for ensuring that all co-presenters meet the eligibility requirements and have agreed to their inclusion. 

(1) Lead Presenter

a. Must be a member of a foreign psychological association with an MOU (Memorandum of Understanding) with the Japanese Psychological Association (JPA).
b. Must have registered and paid the convention registration fee.
c. Must have completed the presentation submission process within the designated application period.
d. By applying for the presentation, the lead presenter agrees to transfer the copyright of the proceedings manuscript to the JPA on behalf of all co-authors.
e. Must be the primary author of the presentation.

(2) Co-presenters

a. Must have collaborated with the lead presenter on the research being presented.
b. As a general rule, co-presenters are expected to register for the convention and participate in the research presentation and discussion. (However, the non-attendance of co-presenters will not result in the cancellation of the presentation.) *Non-members are also eligible be co-presenters.

4. Application

The lead presenter must register the following information and be listed as the primary author. When preparing the conference paper, please refer to the "Guidelines for Preparing Manuscripts for General Research Presentations (Poster Presentations)."

  • Lead presenter's information (Name, Affiliation, Membership number)
  • Co-presenters' information (Name, Affiliation, membership status, etc.)
  • Presentation language (Japanese/English)

 *Note: Applicants for the Distinguished Poster Presentation Award will be evaluated based on their chosen presentation language.

  • Presentation category

[For presentations in Japanese]

・Title (within 100 Japanese characters), Subtitle (within 100 Japanese characters)

・English title (within 200 characters)

・Keywords (Japanese & English; up to 3 each)

・Abstract (within 500 characters)

[For presentations in English]

・Title (maximum 200 characters), Subtitle (maximum 200 characters)

・Keywords (English; up to 3)

・Abstract (maximum 1,700 characters)

  *The abstract will be published on the convention website and will not be included in the proceedings.

  • Conference paper (1 page, PDF file)
  • Confirmation of ethical review
  • Confirmation of informed consent
  • Conflict of Interest (COI) declaration
  • Entry for the Distinguished Poster Presentation Award
  • Contact email address

5. Author Proofreading

If typographical errors or other formal issues are found in the submitted conference paper, corrections can only be made during the author proofreading period. The Convention Executive Committee will review all conference papers. If any issues are identified, the lead presenter will be contacted and must complete the necessary corrections within the designated proofreading period. Failure to submit appropriate corrections may result in the cancellation of the presentation.

6. Digital Poster Submission

Please submit a "Digital Poster" that is identical to the actual poster to be displayed at the venue on the day of the convention as a JPG file. The submission period is tentatively scheduled from July 14th (Tuesday) at noon to September 4th (Friday) at 8:00 am (JST). Details will be announced on the convention website (scheduled for release in July).

7. Distinguished Poster Presentation Award

The JPA Distinguished Poster Presentation Award is available only to those who apply at the time of their presentation submission. Excellent presentations in Japanese will receive the JPA Distinguished Poster Presentation Award, while English presentations will be eligible for the JPA Distinguished Poster Presentation Award - International Division.

*A Conference Paper must be submitted to the registration system as a PDF file. Please use Word's "Save As" to make the file format PDF, or "Print" to "Save as PDF", etc.

<Copyrights of Presentations>

 

  • The convention proceedings will be made publicly available. Submission of an abstract is considered as an agreement to transfer its copyright transfer to the Japanese Psychological Association (JPA).
  • The copyright of digital posters, videos, and other related content remains with the presenter. While the JPA does not require the transfer of copyright for these materials, presenters are asked to consent to their posting of these materials on the convention website.
  • Presenters are responsible for any copyright or trademark issues related to the content. Please be mindful of this when preparing your presentation materials. Content that violates the following policies will not be allowed for publication:
    • Unauthorized use of images, videos, or music featuring famous figures (e.g., musicians, athletes, celebrities) from both Japan and abroad.
    • Unauthorized use of photos where individuals can be personally identified.
    • Unauthorized use of images copied from websites.
    • Unauthorized use of copyrighted characters, anime, or artwork from Japan or abroad.

We aim for all participants to respect one aother's personality and individuality, ensuring that information is accessible without discrimination based on disabilities or any other background. Specifically, if you are able to insert subtitles into videos for on-demand streaming, we would like to indicate this in the program.

Examples of reasonable accommodations for participants with disabilities:

  • Add subtitles to videos (e.g., using auto-captioning features on video platforms or free subtitling software).
  • Ensure the text on your slides is comprehensive enough for participants to follow the speech; please use full sentences rather than just bulleted keywords.

  • Be mindful of color choices for those with color vision deficiencies. If using a laser pointer, a green laser is preferred over red.
