VISA Information for PRUAC Participants

Participants are advised to first check whether they need a visa to enter Japan based on the citizenship/passport they hold, rather than their country of residence.

Japan has visa exemption arrangements with a number of countries and regions for short-term stays. Participants who hold a passport issued by a visa-exempt country or region may not need to apply for a visa in advance for short-term visits to Japan, including conference participation, provided that they do not engage in paid activities in Japan.

Please note that the JAPAN eVISA system indicates eligibility mainly based on the applicant’s country or region of residence. This should not be confused with visa exemption based on citizenship. If your citizenship is covered by Japan’s visa exemption arrangements, you may not need to apply through the eVISA system.

Participants who do require a visa should check the website of the Japanese Embassy or Consulate-General with jurisdiction over their place of residence. Please also note that the JAPAN eVISA system may not be applicable for travel to Japan for the purpose of attending a conference or business-related activities. We therefore recommend that participants confirm the appropriate procedure with the relevant Japanese diplomatic mission as early as possible.

Invitation Letters for VISA

For participants who require a visa to enter Japan, the Organizing Committee will issue Invitation Letters for visa application purposes.
Please note that Invitation Letters will be issued only to participants who have completed registration for PRUAC2026.

Invitation letters to attend the meeting for applying visas should be sent to pruac2026@gtcenter.co.jp  and include the following information:

Title (Dr. Prof., etc.), Full name, Institution, City, State or Province, Country.
Requests for invitation letters must be sent individually by each person who requires a letter.

Eligibility

Invitation Letters will be issued only to participants who have completed registration for PRUAC2026.

Documents to Be Issued

Invitation letters will be issued in English. They will normally be sent by email in PDF format.

  • An Invitation Letter is a supporting document for visa application and does not guarantee visa issuance.
  • Visa requirements and application procedures may vary depending on nationality, passport type, and country/region of residence. Applicants are responsible for confirming the latest requirements with the nearest Japanese Embassy or Consulate.
  • The Organizing Committee is not responsible for any visa decision made by the relevant authorities.
  • Please allow sufficient time for processing. The preparation of the letter usually takes approximately 1 to 2 weeks after receipt of a complete request.
  • Detailed instructions and required information for application will be posted on this website on or after May 15, 2026.
