Information for Participants

1. About Your Name Badge

Please print your English version name badge, fold it into quarters, and bring it with you to the venue.

※Note: Since this symposium is held jointly with an international symposium, we kindly ask all participants to bring the English version of their name badge.

※Note: The QR code on the back of the badge will be used for purposes such as lunch box distribution, so please ensure that you print and bring it with you.

Please follow the steps below to print and fold your name badge:

  1. Log in to your registration account via the following URL:
    https://htsj.confit.atlas.jp/login
  2. If the page is displayed in Japanese, click the “English” button at the top right to switch the language.
  3. Download the badge PDF from “Certificate Download” under “Registration Info.”
  4. Print the downloaded PDF on A4 paper.
  5. Fold the printed badge into quarters so that your name and affiliation are visible on the front, and the QR code appears on the back.
  6. Bring the folded badge to the registration desk at the venue. After we scan the QR code, we will provide a name holder for you to insert the badge and wear as your name tag.

2. Opening Time of the Venue

During the symposium period (May 14 to May 17), the venue will open at the following times each day:

  • May 14: from 9:10 AM
  • May 15: from 9:10 AM
  • May 16: from 9:10 AM
  • May 17: from 9:00 AM

Please refrain from entering the venue before the designated opening time, even if the doors are unlocked earlier.

3. Accessing the Conference Proceedings

As previously announced, the conference proceedings will be available on the symposium website in the following three formats

  • Individual PDFs for each presentation: Available from each presentation page in the timetable.
  • Complete compiled PDF with cover page: Available from the “Members and Registered Participants Only” page on the symposium website.
  • Daily program with simplified PDF format: Available from the “Proceedings Download” section on the website.

Note: Access to the above requires the password provided in the earlier notification email or listed in the April issue of the Heat Transfer Society of Japan Journal.

4. Request for Cool Biz Attire

  • As part of our efforts toward sustainable operation, we encourage all participants—including presenters—to wear Cool Biz attire. Please come to the venue in business casual clothing.
  • On May 14 and 15, a “Kariyushi shirt” shop (Okinawan formal wear) will be open from 11:00 AM to 5:00 PM, and we also recommend wearing a Kariyushi shirt if you purchase one there.

6. Banquet

  • A Banquet (pre-registration required) will be held in the evening of May 16 at Laguna Garden Hotel. Doors will open at 6:15 PM.

7. For Those Arriving by Car

  • Please note that the symposium organizers and the Heat Transfer Society of Japan bear no responsibility for any accidents or troubles that may occur in the parking area of the Okinawa Convention Center. If you are coming by car, please exercise caution.
